Study advisors at University of Amsterdam manage student appointments with check-in kiosk

Student advisors at the Faculty of Economics and Business at the University of Amsterdam (UvA) welcome a high number of students every year. To efficiently manage student appointments and communications, the university decided to implement a new digital check-in and information system. Facing the challenge: Managing student check-ins and information flow

With frequent meetings between students and advisors, UvA needed a way to plan meetings, register arrivals, and notify student advisors. Manual processes were no longer efficient, prompting the university to explore automation. This led to the implementation of a new solution to streamline the check-in process and support advisors in their daily work.

A joint solution by Reflex Online, ProDVX, and DIZ Informatiezuilen

To address these challenges, the University of Amsterdam collaborated with Reflex Online, ProDVX, and DIZ Informatiezuilen. Reflex Online provided the appointment software, while the interactive check-in kiosks were delivered by DIZ and equipped with 15-inch displays from ProDVX. Together, the parties developed an integrated solution to improve the student experience and optimise internal workflows.

Software by Reflex Online

Reflex Online’s appointment software, customised specifically for the UvA , allows students to check in using their student number or QR-code. The interface is fully tailored with welcome messages, photos, and UvA-branded visuals, designed for maximum ease of use.

Once checked in, students can even see a photo of the student advisor that they will have the meeting with. At the same time, the advisor is automatically notified of the student that just arrived. It saves them a lot of hassle, because now they're 100% sure the student the student actually arrived in the designated waiting room, ready to be picked up for the meeting.

Meanwhile, the software records valuable data, such as the duration of the conversation, the total number of appointments, and the no-show rate. All of this can be exported and analysed, enabling data-driven insights and improvements in service delivery. Additionally, clear on-screen instructions guide students, making the check-in experience smooth and professional.

Interactive touch display by ProDVX

The ProDVX APPC-15XP was selected as the display for the check-in kiosks. This 15-inch Android Panel PC integrates seamlessly with Reflex Online’s software, providing a reliable and user-friendly touch interface for students.

With PoE support and flexible configuration options, the APPC-15XP is perfectly suited for kiosk integration. The high-resolution screen ensures that appointment information is presented clearly, while the responsive touchscreen enables fast and intuitive student interaction. Its robust design makes it ideal for the intensive daily use expected in educational environments.

Kiosk by DIZ Informatiezuilen

DIZ has built the Kiosk devices to provide a unique kiosk for all customers of Reflex Online. These kiosks offer a professional look and feel, while protecting the internal hardware and allowing for easy access and maintenance. Their ergonomic design ensures students can comfortably interact with the touch display, making them a key part of the overall user experience.
