From friction to flow: how Súdwest-Fryslân transformed its council chamber

The challenge, when meeting technology becomes the distraction

Every meeting room should simply work. But when technology becomes unreliable, it quickly shifts the focus away from the conversation. Delays, unclear interfaces, and technical checks before every meeting create frustration for both users and staff.

That was exactly the challenge in the council chamber of Súdwest-Fryslân in Sneek. The existing system relied on physical access cards to activate microphones and voting functions, but in practice this caused constant friction. Cards were inserted incorrectly, the system responded slowly, and technical staff had to manually check every seat before meetings could begin.

At the same time, the chamber was used for more than council meetings alone. Presentations and wedding ceremonies also took place in the space, meaning the technology had to remain as discreet as possible. To make things more challenging, the existing equipment was built into custom council tables, so any new solution had to fit perfectly into the existing setup.

The benefits, calm, intuitive, and future-ready meetings

Since the installation, meetings run noticeably smoother. The technical uncertainty has disappeared, preparation time has been reduced, and the system can now be managed by a single person.

The interface was intentionally designed for simplicity. Voting is clear and intuitive, allowing new council members to use the system immediately without training. Seating arrangements can also be updated instantly through a digital floor plan, removing the need for physical access cards entirely.

Because the technology is fully integrated into the furniture, the room maintains its clean and multi-purpose appearance for council meetings, presentations, and ceremonies alike.

Behind the scenes, the move to an IP-based infrastructure also makes the setup significantly easier to manage. Because all components communicate over the standard network, there is no need for specialist proprietary cabling or on-site hardware expertise for routine changes. Software updates can be rolled out centrally, individual seats can be reconfigured remotely, and adding new functionality, such as hybrid or remote participation, becomes a matter of software rather than rewiring the room.

By combining modular software with custom-built hardware, Súdwest-Fryslân transformed its council chamber into a space where technology quietly supports the conversation instead of interrupting it.
