Video Conferences, Online Meetings, Webinars, and Screen Sharing:

We employ third-party platforms and applications, collectively referred to as "conference platforms," to facilitate video and audio conferences, webinars, and various other forms of video and audio meetings, referred to as "conferences" herein. In choosing these platforms and their services, we adhere to legal requirements.

Data Processed by Conference Platforms:

Participation in a conference involves the processing of participants' personal data by conference platforms. The extent of processing depends on the specific conference requirements, including mandatory data (e.g., access data or real names) and optional information provided by participants. Conference platforms may process participant data for security purposes or service optimization in addition to facilitating the conference. Processed data includes personal details (first name, last name), contact information (email address, telephone number), access data (access codes or passwords), profile pictures, professional status/function information, IP addresses, details about participants' devices, operating systems, browsers, technical and linguistic settings, content of communication processes (chat entries, audio and video data), and the use of available functions (e.g., surveys). Communication content is encrypted where technically feasible. If participants are registered users on conference platforms, additional data may be processed in accordance with the platform's agreement.

Logging and Recordings:

Transparency is maintained when logging text entries, participation results (e.g., from surveys), and video or audio recordings. Participants are informed in advance, and consent may be sought if necessary.

Participants' Data Protection Measures:

Participants are urged to review conference platforms' data protection information, configure optimal security and data protection settings within platform settings, and maintain data and privacy protection during video conferences (e.g., informing roommates, securing doors, and using background obscuring where possible). Sharing conference room links and access data with unauthorized third parties is strictly prohibited.

Legal Bases:

If, alongside conference platforms, user data is processed, and consent is sought for platform use or specific functions (e.g., consent for conference recordings), the legal basis is consent. Processing may also be necessary for fulfilling contractual obligations or based on legitimate interests in efficient and secure communication with communication partners.

We exclusively send newsletters, emails, and other electronic notifications ("newsletter") with the recipient's consent or legal authorization. The content specified during newsletter registration determines user consent. Our newsletters include information about our devices, services, and us.

To register for our newsletters, providing your email address is generally sufficient. Occasionally, we may request a name for personal addressing or additional information necessary for the newsletter's purposes.

Double Opt-In Process:

Newsletter registration typically involves a double opt-in process. After registration, an email is sent for confirmation, preventing unauthorized logins. Registrations are logged to provide evidence of the process, including registration and confirmation times and IP addresses. Changes to data by the shipping service provider are also logged.

Deletion and Restriction of Processing:

Unsubscribed email addresses may be stored for up to three years for evidence based on legitimate interests. Processing is restricted to potential defense against claims. Individual deletion requests are accepted, confirming prior consent. In cases of permanent contradiction obligations, the email address may be stored in a blacklist for this sole purpose.

The registration process is recorded for evidence based on legitimate interests. When a service provider is commissioned for email delivery, it aligns with our legitimate interests in an efficient and secure shipping system.

Legal Bases:

The newsletter is sent based on recipient consent or, if unnecessary, our legitimate interests in direct marketing, permitted by law (e.g., advertising to existing customers). Service providers are engaged based on legitimate interests. Registration process recording is based on legitimate interests to demonstrate lawful execution.

Services and Service Providers Used:

Facebook Pixel and Custom Audiences:

Utilizing the Facebook pixel or similar functions, such as transmitting event data or contact information through app interfaces, enables Facebook to identify visitors to our online platform. This identification allows Facebook to categorize these visitors into target groups for displaying advertisements, known as "Facebook Ads." Our use of the Facebook pixel focuses on presenting our ads exclusively to Facebook users and those within the partner services of Facebook (referred to as "Audience Network" at https://www.facebook.com/audie...) who have demonstrated interest in our online content or exhibit specific characteristics (e.g., interest in particular topics or products, evident from their website visits).

The Facebook pixel also ensures that our ads align with users' potential interests, enhancing user experience. Additionally, it enables us to gauge the effectiveness of Facebook advertisements for statistical and market research purposes, assessing whether users visited our website after clicking on a Facebook ad (referred to as "conversion measurement").

We, along with Facebook Ireland Ltd., engage in the collection or receipt of "event data," data collected by Facebook through the Facebook pixel and similar functions during activities on our online platform. This partnership serves various purposes, including displaying content and advertising information based on users' presumed interests, delivering commercial and transaction-related messages (e.g., through Facebook Messenger), and enhancing ad delivery and personalization of features and content.

We have a special agreement with Facebook ("Addendum for Controllers" at https://www.facebook.com/legal...) outlining security measures Facebook must adhere to (https://www.facebook.com/legal...) and acknowledging Facebook's commitment to fulfilling the rights of users.

  • Data Types Processed: Usage data (e.g., websites visited, interest in content, access times), meta/communication data (e.g., device information, IP addresses), event data (Facebook).
