Conference solution leads to seamless and efficient European Council meetings

From July to December 2024, Hungary held the Presidency of the European Council and hosted a series of international meetings. To support these events, Várkert Bazár in Budapest was transformed into a modern, high-tech conference venue. The goal: streamline communication, identification, and speaker management. Facing the challenge: speaker control and delegate identification

European Council meetings are dynamic, high-stakes gatherings involving hundreds of participants. Efficient organisation and clear communication are crucial. To meet these demands, they recognised the need for a fully automated conference solution. This to enhance both functionality and the attendee experience with professional electronic nameplates and advanced conference software.

A joint effort by MVI AudioVisual, AVIO MEDIA, and ProDVX

To develop this conference solution, MVI AudioVisual, AVIO MEDIA, and ProDVX collaborated closely, combining their expertise. MVI AudioVisual provided the specialised software, ProDVX supplied the 24-inch digital nameplates and control panel, and AVIO MEDIA seamlessly integrated the entire system on behalf of Visual Europe Group, bringing the solution to life.

Hardware by ProDVX

Our 24-inch UltraWide Signage Displays act as digital nameplates for every delegate. Positioned at each seat, the screens display names, countries, or functions, along with live microphone status, speech timers, and voting outcomes.

Participants request to speak via their discussion microphones, while the Hungarian chairperson uses a separate 10-inch control panel (APPC-10SLBe) to manage requests and activate microphones. This setup ensures the meeting runs as smoothly as possible, enhancing efficiency and communication.

The displays feature:

High-resolution clarity for readability.
User-friendly interfaces for smooth operation.
Power over Ethernet (PoE) for simplified cabling, delivering both power and connectivity via a single cable.

Conference system by MVI AudioVisual

The EasyConf DelegateUI software is the brain behind the conference system. It replaces static, printed nameplates with real-time digital signage, showcasing participant names and party logos. The software dynamically adjusts to seat changes and meeting formats, supporting full automation and effortless configuration.

With everything running on an IP-based infrastructure, the system ensures perfect synchronisation between digital nameplates and on-screen lower thirds. This modern approach makes installation straightforward and enhances operational reliability.

AVIO MEDIA’s seamless installation

AVIO MEDIA played a crucial role in integrating the hardware and software into one cohesive system. Their team managed the full installation, ensuring seamless communication between displays, microphones, and automated cameras. By using an all-IP setup, they reduced complexity and increased efficiency, delivering a smooth, high-end conference experience.
